Find and act on orders by pasting IDs

When you already have a list of order numbers — a column from a spreadsheet, an email, an export from your warehouse system — you don't have to search for them one at a time. Paste the list into the Orders page and it shows exactly those orders, tells you which IDs it couldn't find, and lets you dispatch, archive, or unarchive them together.
Paste your IDs
- On the Orders page, select Paste IDs next to the search box. The button is on the table view, not the map.
- In Find orders by ID, paste your list into Order IDs.
- Check the count under the box. It shows how many IDs were read and how many duplicates were removed.
- Select Find orders, or press Cmd+Enter (Ctrl+Enter on Windows).
A few things to know about the list:
- Any of an order's IDs works. You can paste Nash IDs, external IDs, and reference IDs, and mix them in one list.
- Separate IDs with new lines, commas, semicolons, or tabs. A column copied straight from a spreadsheet works as it is. A space doesn't separate IDs, because an ID can contain one.
- Matching is exact. An ID has to match in full, including upper and lower case.
- A list can hold up to 1,000 different IDs. Past that, the dialog tells you how many to remove before it will search.
Read the results
The Orders list is replaced by the orders you pasted, in the order you pasted them. A strip above the table sums up the result — for example, "139 of 142 IDs matched."
- IDs that weren't found. If some IDs matched nothing, a not found button appears in the strip. Select it to see the list, and use Copy IDs to take it elsewhere. Check those IDs for typos, or whether the orders belong to a different organization.
- IDs that matched more than one order. Every matching order is listed, and a note in the strip tells you how many IDs did this.
- Tabs. Pasted IDs shows every matched order. The status tabs next to it — and the archive icon — narrow the list to the pasted orders in that status, each with its own count.
Each row shows the order's status, pickup and dropoff, time window, and value, plus two columns specific to a pasted list:
- Matched ID — the value you pasted, and whether it matched as a Nash ID, an External ID, or a Reference ID.
- Details — the one thing worth knowing for that status: why an order was archived, which provider it was dispatched to, or what it needs before it can go out.
Under the status, a row can also say Customer pickup or In a route. Select a row to open the order.
While a pasted list is showing, the date range, Filters, saved views, the search box, and Map are unavailable — they don't apply to pasted IDs.
Change or clear the list
- Fix or extend the list. The button now reads Edit IDs. Select it to reopen the dialog with your list already filled in, correct a typo or add more IDs, and select Find orders again.
- Go back to the normal list. Select Clear in the strip. Your earlier filters and tab are as you left them.
A pasted list isn't saved. Reloading the page or switching organization clears it.
Act on the pasted orders
Select Actions in the strip. The menu applies to the tab you're on: every matched order on Pasted IDs, or only the orders in one status if you've picked a status tab. Each action shows how many orders it applies to, and how many it will skip and why.
- Dispatch — sends each order through its dispatch strategy. See dispatch strategies. Orders that are archived, already dispatched, in a route, or still need attention are skipped, and so are customer pickup orders.
- Mark as picked up — for customer pickup orders only. It moves them to Dispatched. Delivery orders are skipped, along with pickup orders that are archived, already dispatched, or still need attention.
- Archive — asks for a reason first, the same way archiving does anywhere else. See archived orders. Orders that are already archived or dispatched are skipped.
- Unarchive — brings archived orders back. Each one is checked again as it returns, so an order with a problem lands in Needs Attention. Orders that aren't archived are skipped.
Orders an action doesn't apply to are skipped, never changed. An action that applies to none of the orders is unavailable, and the menu says why.
Confirm the action
Dispatch and Mark as picked up ask you to confirm, and Archive asks for its reason. Either way, the dialog previews the run before anything happens:
- A row for what will change — for example, Will be dispatched.
- Will be skipped, broken down by reason.
- IDs not found, if your list had any.
Open a row to see the orders in it, or use Copy IDs on a row to copy them. The confirm button states exactly what will happen — for example, Dispatch 71 orders. Unarchive runs as soon as you choose it, with no confirmation.
Follow the run
While the action runs, the strip shows its progress, and rows in the table update as orders finish. When it's done, the strip shows the outcome in one line — how many orders were done, skipped, and failed. Select that line for the summary, which lists the orders in each group and the reason for each failure.
- If some orders failed, a Failed tab appears. Open it and choose the same action again to retry only those orders.
- If the run stopped early, the summary lists the orders it couldn't confirm. Check them, then run the action again on the ones it still applies to.
- To run something else on the same list, select Actions again.
- When you're finished, select Done to return to the normal Orders list.
Each run is also recorded on the Activities page, named for what it did — for example, "Archive Orders" — with the number of orders it covered.
If something isn't available
- Archive and Unarchive are locked. If your access is limited to specific locations, you can't archive or unarchive from a pasted list. Dispatch and Mark as picked up still work.
- Actions is greyed out right after a run. It comes back once the list has refreshed with the orders' latest status. If the refresh fails, select Retry in the strip.
- No orders matched. There's nothing to act on. Select Edit IDs to correct the list, or Clear to go back.
