Manage users and roles

As your team grows, you'll add people to Nash, decide what they're allowed to see and do, and occasionally remove someone who's moved on. This article covers all of it: adding a user, setting up roles and permissions, editing an email address, removing a user, and what to do if someone's invite never shows up.

Only Owner and Admin roles can manage other users — add them, change their role, or remove them.

Add a user

  1. Go to Settings > Members & Organization > Users.

  2. Select + Add Team Member in the top right-hand corner.

  3. Enter the new member's email address and first/last name.

  4. Select a role. Nash includes several built-in roles: - Operations — access to the dashboard, order entry, and analytics. - Admin — everything Operations has, plus team and billing management. - Owner — full access to all features and settings. Only one Owner is allowed per account; to change who holds it, contact Nash Support. - Billing Admin, and — for organizations that use them — Location Operations and Driver Group Operations: narrower roles scoped to billing, or to specific locations or driver groups.

You can also pick any custom role you've created. 5. Select Add to complete.

The new member gets a welcome email to set up their account. If they already have a Nash account under another email or organization, see Troubleshooting invites below for what happens instead.

Roles and permissions

Nash ships with several built-in roles — including Operations, Admin, and Owner (plus Billing Admin and the location- and driver-group- scoped roles noted above) — and lets you create custom roles when those don't fit.

Create a custom role

  1. Go to Settings > Members & Organization > Roles.

  2. Select Create New Role.

  3. Enter a name for the role.

  4. Toggle read and write permissions on or off for each area the role should control. There are many — for example analytics, billing, deliveries, orders, dispatch and optimization strategies, workflows, user and role management, refunds, products, zones, and store locations.

  5. Select Create to create the role.

Change a user's role

  1. Go to Settings > Members & Organization > Users.

  2. Find the user whose role you want to change.

  3. Select the ellipsis (⋯) at the end of their row and choose Edit.

  4. Choose the new role — a built-in role or a custom one you've created.

  5. Select Save to apply the change.

Have the team member log out and back in so the new permissions take effect immediately. To change what a role itself can do, edit the role under Settings > Members & Organization > Roles instead — that updates permissions for everyone assigned to it.

Edit a user's email

Email addresses can't be edited on an existing account. To change one, remove the old account and add a new one with the correct email:

  1. Go to Settings > Members & Organization > Users.

  2. Select the ellipsis (⋯) at the end of the user's row and remove the account.

  3. Add the user again with the correct email address, following Add a user above.

  4. Assign the same role and permissions the account had before.

Before you do this, let the person know their access is about to change, and note anything tied to the old account you'll want to carry over — since removal only revokes access, their past activity in the portal stays intact.

Remove a user

Owners and Admins can remove a team member's access at any time.

  1. Go to Settings > Members & Organization > Users.

  2. Find the user you want to remove.

  3. Select the ellipsis (⋯) at the end of their row and select Remove.

  4. In the confirmation dialog, select Remove to confirm.

Removal takes effect immediately — the user loses access and sees an error if they try to log in. It only revokes access; anything they did in the portal stays in your history, and it doesn't delete their past activity.

Troubleshooting invites

My team member didn't receive a welcome email

The most common reason is that the email address already belongs to a Nash account — on another organization, for example. When that happens, Nash doesn't send a new welcome email; instead, it adds your organization to their existing account so they can switch into it, with no new password or setup required.

To resolve it:

  1. Ask the team member whether they've used Nash before or belong to another organization.

  2. Have them log in and look for your organization using the organization selector.

  3. Double-check the email address you entered. If it was wrong, remove the entry and add the user again with the correct address.

  4. If none of that resolves it and they're not part of another organization, they can set up access manually: go to portal.usenash.com, select Log In > Can't log in to your account?, and use the reset-password flow to set a password and log in.
